YEP! the Young Event Professionals have been creating ad hoc planning teams that meet once a week to produce virtual fund raisers for environmental and food support charities.. people like to serve on teams

what was the platform you used with no technical difficulties?

Can anyone share successful virtual platforms for larger scale events - 5,000+ people?

we found a key element irrespective of platform, was local internet speed…we tripled our speed by using an ethernet cable to connect vs the wireless router in our house

How to you share all the session links for the attendees to access?

You can have concurrent sessions with Zoom if you use the Webinar feature.

We do need to face the reality that travel funds are going to be a challenge for many of our association members. And that will drive a desire for going virtual or hybrid even when we are able to meet face to face.

One of the associations I work with is planning a one-day event in New Orleans. I think they're probably going to end up canceled, but that's their plan as of now.

I've used Sched as a platform for registration and had the zoom links embedded in that, as people create their own agenda.

We did our first all virtual conference 3 weeks ago. We used HopIn and Zoom. We pre-recorded several sessions. Most technical difficulties were on the attendee side. Mobile vs desktops, browsers, Wifi speed. But we had the most attendees ever since they did not have to travel. Communication is important, but our attendees - independent bookstores - are overwhelmed and fatigued.

Conference Catalyst is another provider who can provide the front end interface, but the back end is a series of zoom meetings and vimeo videos.

Forgot to mention that our meeting that was done through zoom doubled in size for virtual, with all positive evals.

The Javits Center will restart conventions starting on Oct 1st with the Cannabis World Congress & Business Expo

Short term. Family & Children’s Assn is holding our annual golf outing. That allows distancing. (Don’t know how they’re doing the usual food gathering afterward.)

From a hotel standpoint, at TWA Hotel we have hosted several Board Meetings and small advisory board meetings - most large meetings from 2020 have relocated to Q3/Q4 of 2021 already but the smaller events of less than 50 attendees have guts and will wait it out to see if practical to host!

They either have a lot of golf carts or they are in great shape...walking! :)

Florida Fashion Focus will be at the Palm Beach County Convention Center Aug 25-31

Have any of the hotel chains put an outdoor option in place? Obviously there would be weather concerns.

Our organization is putting on a golf outing and the golf course has offered to put plexiglass partitions in the carts.

@Jen - I know of a number of properties that are doing outdoor options for certain types of events.

I attended an awards event - video presentation about agency for each nominee. Winner announcement/acceptance live. Networking opportunities offered b4 and afterward face-2-face - you went to an interest-area and indicated interest. Someone appeared. 4-minute limit.

Seems like a good way to try to provide customer confidence. Would not work in the northeast in January, but in better climates, it could be a good stepping stone back to live events.

Adding onto what Holly just said, one of the "problems" that we have with ASJA - their Virtual Conference has been TOO successful, and their members, who are freelance writers already working remote, find that this model fits their lifestyle much more than a $2,000 trip to NYC

Yes! to answer Jen's comments. The Wyndham Rio Mar in Puerto Rico hosted a live event. Attendees were able to enjoy form their balconies. Here a great clip if you want to check it out.

We are in a very unique position - we are a very small organization and the majority of our income in derived from dues, not events. We subsidize our annual meeting so the cancellation of our meeting this year was a financial boost to us. We transitioned to much more frequent virtual events and are delivering perhaps more value to our members at zero cost.

James, that is such a generous offer.

A key component to our annual meeting is one-on-one meetings between our two categories of members. We just did them virtually (spread over five days the past couple of weeks) - they were very successful and we had far more people participate because they could do so from their own homes.

HopIn, the platform ABA used, allows for an Expo. There were challenges with getting people to be on camera on both sides - the vendor and the attendee, but we did earn some additional revenue that offset some costs

if we extend the Keynsian theory of economics to all our groups, we could focus on expanding membership and then recovering the short term loss with a larger membership

we recently hosted a presentation from the president of the largest company in our industry - it was the best attended event we have EVER done. His name alone was a huge draw.

good point.. we can easily expand and “democratize” values, awards, benefits that associations can sell to attendees

Has anyone successfully pivoted in-person exhibits to digital that provides connection between attendees & exhibitors?

Holly: we had a board call on Wednesday and I shared the response to the first one and told them I am going to start planning them for once a quarter. The best part is because it is from within the industry, it cost us zero.

And the biggest source of engagement for us was strongly encouraging people to turn on their webcams - there is a sense of connection when people can see each other's faces. (Says the person who does not have his camera on right now...)

as a supplier…the answer is YES we are all available in exchange for a sandwich

@Stacey - My org is working with our normal production company that and they did a great virtual platform that had an awesome exhibitor/supplier/trade show area that was able to facilitate synchronous and asynchronous interaction, as well as a virtual briefcase that allowed them to distribute literature. We were able to deliver value to the sponsors in that way.

Both NYSAE and NYPCMA have done a great job engaging virtually over the past 5 months. They hit the ground running while other organizations are still struggling

@Stacey, yes we have had to adjust our exhibit pricing.

@Stacey and Jimmy- did you adjust your exhibitor pricing down or up? Weare trying to fudure out a price for our upcoming event in October.

we found that if we expanded the definition and focus of business networking, it was actually more valuable

we also are creating short term ad hoc teams that connect “suppliers” and “planners” in a more pleasant, less elevator speech way

@Stacey - We adjusted down slightly, but provided "upgrades" at a cost, so lower cost of entry, but potential for more "add-ons".

@Sharon - I’m trying to figure that out now. What price for what benefit.

@Stacey. Thanks. That was always an ongoing dilemma when our events were live. A bit more challenging now going virtual.
