Donna started at a very, very young age!
David Fletcher

Holly Koenig

TOGETHER WE'RE GOING TO GET OUT OF THIS!
Lois Miller
45:17
Is your idea of a hybrid event, 2 separate events being one online and one in person or the idea that you live stream content from your live event for those who cannot attend in person?
Andrew Gala
45:28
That's right Jimmy! Together we will get out of this!
Stacey Courtney

Fully Virtual for some Ass. Others are in denial! No events.
JIMMY LE
57:31
My flagship conference is in December in Taipei. The volunteers are still hoping to go hybrid, but I just think that's not realistic..
David Fletcher
57:50
YEP! the Young Event Professionals have been creating ad hoc planning teams that meet once a week to produce virtual fund raisers for environmental and food support charities.. people like to serve on teams
Donna Denley
59:12
what was the platform you used with no technical difficulties?
Julia O'Brien - Visit Anaheim
59:18
Can anyone share successful virtual platforms for larger scale events - 5,000+ people?
David Fletcher
01:00:03
we found a key element irrespective of platform, was local internet speed…we tripled our speed by using an ethernet cable to connect vs the wireless router in our house
LeighAnn Tobia
01:00:34
How to you share all the session links for the attendees to access?
Patricia Sullivan
01:00:40
You can have concurrent sessions with Zoom if you use the Webinar feature.
LeighAnn Tobia
01:00:48
Did you create an online agenda with zoom links embedded?
Sarah Patterson
01:00:54
I’m interested in virtual award ceremonies!
Karin Bagnall, MLA
01:01:08
We do need to face the reality that travel funds are going to be a challenge for many of our association members. And that will drive a desire for going virtual or hybrid even when we are able to meet face to face.
Patricia Sullivan
01:01:12
@LeighAnn, you can.
JIMMY LE
01:01:14
Agree with LeighAnn.
Patricia Sullivan
01:01:22
Depends on the platform you're using...
Shannon Fagan
01:01:34
Hi Everyone, Shannon Fagan from AH. We are positioning our 2020 meetings to all virtual. 2021 meetings going virtual are pending based on whether they are Q1 or Q2
Gayle Goldner
01:01:51
Anyone meeting live in 2020??
Donna Denley
01:01:53
Live - 30 people - hopefully!

@Sarah Patterson, you can always see the NYSAE Synergy Awards in two weeks! we like to think that we were a live-test run for organizations looking to take their awards show virtual
Patricia Sullivan
01:02:39
One of the associations I work with is planning a one-day event in New Orleans. I think they're probably going to end up canceled, but that's their plan as of now.

I've used Sched as a platform for registration and had the zoom links embedded in that, as people create their own agenda.
Jill Perlstein (ABA)
01:05:40
We did our first all virtual conference 3 weeks ago. We used HopIn and Zoom. We pre-recorded several sessions. Most technical difficulties were on the attendee side. Mobile vs desktops, browsers, Wifi speed. But we had the most attendees ever since they did not have to travel. Communication is important, but our attendees - independent bookstores - are overwhelmed and fatigued.
JIMMY LE
01:06:16
Conference Catalyst is another provider who can provide the front end interface, but the back end is a series of zoom meetings and vimeo videos.
Jen
01:06:46
Forgot to mention that our meeting that was done through zoom doubled in size for virtual, with all positive evals.
ALLEN KANTOROWITZ

The Javits Center will restart conventions starting on Oct 1st with the Cannabis World Congress & Business Expo
David Fletcher
01:12:41

Judy Sanford Guise, M.S.W., CAE
01:12:52
Short term. Family & Children’s Assn is holding our annual golf outing. That allows distancing. (Don’t know how they’re doing the usual food gathering afterward.)
Andrew Gala
01:13:42
From a hotel standpoint, at TWA Hotel we have hosted several Board Meetings and small advisory board meetings - most large meetings from 2020 have relocated to Q3/Q4 of 2021 already but the smaller events of less than 50 attendees have guts and will wait it out to see if practical to host!
Jen
01:13:49
They either have a lot of golf carts or they are in great shape...walking! :)
Judy Sanford Guise, M.S.W., CAE
01:14:46
LOL, Jen.
Susan Carlson
01:17:26
Florida Fashion Focus will be at the Palm Beach County Convention Center Aug 25-31
Jen
01:18:38
Have any of the hotel chains put an outdoor option in place? Obviously there would be weather concerns.
Lori Alstrom
01:19:46
Our organization is putting on a golf outing and the golf course has offered to put plexiglass partitions in the carts.
Dr. Jeff Victor, CAE
01:21:13
@Jen - I know of a number of properties that are doing outdoor options for certain types of events.
Judy Sanford Guise, M.S.W., CAE
01:21:15
I attended an awards event - video presentation about agency for each nominee. Winner announcement/acceptance live. Networking opportunities offered b4 and afterward face-2-face - you went to an interest-area and indicated interest. Someone appeared. 4-minute limit.
Jen
01:22:41
Seems like a good way to try to provide customer confidence. Would not work in the northeast in January, but in better climates, it could be a good stepping stone back to live events.
James Brannigan - NYSAE
01:27:22
Adding onto what Holly just said, one of the "problems" that we have with ASJA - their Virtual Conference has been TOO successful, and their members, who are freelance writers already working remote, find that this model fits their lifestyle much more than a $2,000 trip to NYC
Rita Lopez -Puerto Rico
01:28:32
Yes! to answer Jen's comments. The Wyndham Rio Mar in Puerto Rico hosted a live event. Attendees were able to enjoy form their balconies. Here a great clip if you want to check it out.

01:32:39
for anyone who is looking for virtual awards ceremonies, we have the Synergy Awards on August 20. if you're interested in attending, here's a 50% off coupon for attendees of this session only: 50Synergy2020We hope that you'll join us and see how a virtual awards show can be done!
Jen
01:32:52
Yes!
Jonathan Riegel
01:32:56
We are in a very unique position - we are a very small organization and the majority of our income in derived from dues, not events. We subsidize our annual meeting so the cancellation of our meeting this year was a financial boost to us. We transitioned to much more frequent virtual events and are delivering perhaps more value to our members at zero cost.
Gayle Goldner
01:33:36
James, that is such a generous offer.
Jonathan Riegel
01:35:26
A key component to our annual meeting is one-on-one meetings between our two categories of members. We just did them virtually (spread over five days the past couple of weeks) - they were very successful and we had far more people participate because they could do so from their own homes.
Jill Perlstein (ABA)
01:35:27
HopIn, the platform ABA used, allows for an Expo. There were challenges with getting people to be on camera on both sides - the vendor and the attendee, but we did earn some additional revenue that offset some costs
David Fletcher
01:36:06
if we extend the Keynsian theory of economics to all our groups, we could focus on expanding membership and then recovering the short term loss with a larger membership
Patricia Sullivan
01:37:50

Great session Holly, Jimmy and Donna...KUDOS! Stay safe and well all! See you next time.Best wishes, Roger
Jonathan Riegel
01:40:24
we recently hosted a presentation from the president of the largest company in our industry - it was the best attended event we have EVER done. His name alone was a huge draw.
Stacey Courtney
01:40:35
Shout out to PR and all the partners!
Holly Koenig
01:40:48
Jonathan, yes! Now you have to keep going!
JIMMY LE
01:40:49
we are adding virtual gamification to our virtual meetings.
James Brannigan - NYSAE
01:41:03
So Rita - how do we do this for NYSAE?! :)
David Fletcher
01:42:34
good point.. we can easily expand and “democratize” values, awards, benefits that associations can sell to attendees
Stacey Courtney
01:42:38
Has anyone successfully pivoted in-person exhibits to digital that provides connection between attendees & exhibitors?
Jonathan Riegel
01:42:57
Holly: we had a board call on Wednesday and I shared the response to the first one and told them I am going to start planning them for once a quarter. The best part is because it is from within the industry, it cost us zero.
Holly Koenig
01:43:17
Smart Jonathan!
JIMMY LE
01:43:19
@Stacey, I am working with a developer to build that platform.
Marty Bear
01:43:36
I would like to ask question for suppliers on the call
Stacey Courtney
01:44:17
@Jimmy - I’d love to learn more
Jonathan Riegel
01:44:32
And the biggest source of engagement for us was strongly encouraging people to turn on their webcams - there is a sense of connection when people can see each other's faces. (Says the person who does not have his camera on right now...)
David Fletcher
01:44:37
as a supplier…the answer is YES we are all available in exchange for a sandwich
Dr. Jeff Victor, CAE
01:45:30
@Stacey - My org is working with our normal production company that and they did a great virtual platform that had an awesome exhibitor/supplier/trade show area that was able to facilitate synchronous and asynchronous interaction, as well as a virtual briefcase that allowed them to distribute literature. We were able to deliver value to the sponsors in that way.
Gayle Goldner
01:45:51
Jen, you can look on the NYPCMA website at our virtual offerings for sponsorship
Stacey Courtney
01:46:02
@Jeff - I’d love to learn more
Holly Koenig
01:46:42
Great idea, Karen! "Focus Groups" and "Sponsored WEbinars" are part of our benefits...
James Brannigan - NYSAE
01:47:07
Jeff could you unmute and share? would love to hear more about your experience
Holly Koenig
01:47:08
You're right, sponsors want more of a "spotlight..."
Rita Lopez -Puerto Rico
01:47:26
Both NYSAE and NYPCMA have done a great job engaging virtually over the past 5 months. They hit the ground running while other organizations are still struggling
Gayle Goldner
01:47:49
Thanks Rita
Holly Koenig
01:49:26
Cool background Dr. Jeff!
Stacey Courtney
01:51:43
How have the exhibitor prices changed?
Jen
01:51:58
Great ideas Vanessa!
JIMMY LE
01:52:44
@Stacey, yes we have had to adjust our exhibit pricing.
David Fletcher
01:54:01
the key is to embrace the paradigm shift
Sharon Kais
01:54:10
@Stacey and Jimmy- did you adjust your exhibitor pricing down or up? Weare trying to fudure out a price for our upcoming event in October.
David Fletcher
01:54:24
we found that if we expanded the definition and focus of business networking, it was actually more valuable
David Fletcher
01:55:21
we also are creating short term ad hoc teams that connect “suppliers” and “planners” in a more pleasant, less elevator speech way
Dr. Jeff Victor, CAE
01:55:52
@Stacey - We adjusted down slightly, but provided "upgrades" at a cost, so lower cost of entry, but potential for more "add-ons".
Stacey Courtney
01:55:53
@Sharon - I’m trying to figure that out now. What price for what benefit.
Sharon Kais
01:57:39
@Stacey. Thanks. That was always an ongoing dilemma when our events were live. A bit more challenging now going virtual.
Karin Bagnall, MLA
01:58:01
