Some things I've been seeing across associations:
Rhonda Payne
01:42:51
rescheduling live events, pivot to virtual/hybrid conferences, virtual tradeshows/supplier activations, fee based webinars/online seminars, new product launches, operations cost cutting, reserves...
Ashley Turrell
01:43:35
Feel free to each out to me directly at aturrell@mappinc.com

01:44:01
different sponsors pay diff amounts
Allison Finston
01:44:05
so how do you handle that?
Allison Finston
01:44:18
for instance- someone is paying 30k for a lunch but 8k for a booth
Holly Munter Koenig
01:44:18
Please continue to ask Ashley questions through this chat feature
Allison Finston
01:44:29
so how do you handle that?
Susan Patton
01:44:36
Hi Ashley—what platform will you use for this event?
Allison Finston
01:44:52
because people are essentially paying much larger amounts but now getting the exact same benefits
Ashley Turrell
01:44:55
We are using GotoWebinar for this.
Allison Finston
01:45:15
also- to the group- I have a HUGE list of virtual platforms that I researched
Allison Finston
01:45:19
and its super organized
Allison Finston
01:45:21
happy to send this out
Phelps Hope
01:45:41
Has anyone used the "break out meeting" function within Zoom for their live events?
Kimberly Unger
01:45:47
Ashley Are you changing attendees differently than for the conference? if so how.
Judy Sanford Guise
01:45:51
Washington Performing Arts pivoted their 600-seat from 175 buyers including silent auction. Did it in 3 days. Think info at their Facebook

01:45:57
We have postponed two overseas events that do not happen annually so we are able to reschedule for 2021 however for our annual events it is difficult to reschedule unless it can be within a month or two. We are exploring our June event being moved to July or August but that's as late as we can go and it's still uncertain.
Kimberly Unger
01:46:39
Allison, I’d love to see your list of platforms
Theresa Engler
01:46:41
Ashely/Allison - we use GoToWebinar as well so I'm def. interested in the virtual platform list you've compiled - tengler@dfi.org - thank you for sharing.
Ashley Turrell

Regarding Zoom "breakout rooms" -- have not used yet but have heard good things from members who have.
Maya Jain
01:48:31
Many hotels are being flexible about moving the events as long as it is being done in 2020.
Diane Neustadt
01:48:56
If you're in a meeting like this the breakout rooms can be great because you can put people in groups to discuss something then everyone can reconvene in the larger meeting. Haven't tried this yet but was in a meeting yesterday where it worked great.
Holly Munter Koenig
01:53:36
please keep yourself on mute until speaking, thank you very much

01:53:45

Raphael - I would also be curious about the actual attendance throughout the days - people dropping in and out or sitting all day. Our conference is a hybrid "technical scientific conference" with tradeshow/networking being a large part as well. We are trying to please many types of attendees.
Allison Finston
02:04:52
sorry can anyone who wants the list just email me directly?

Online programs is an excellent part of our portfolio mix, so take this nudge to move into this space if you weren't already doing so. At ASAE I led a four part strategy (multi-day online only conferences, fee based online seminars - differentiated from free informational briefings which we also held, ondemand library of courses on a monthly/annual all access subscription, and lastly - in beta - we worked on an asynchronous hybrid solution for our major conferences). The diversification will serve you over time and reaches so many more than in person events alone.

02:06:35
Thank you Holly and team for putting this together, and for the discussion
Rhonda Payne
02:07:55
There are so many great technology solutions. I'd love to hear the products/partners people are finding success with. A few I've been amplifying include:Christine Renaud, CEO at e180 (virtual “braindates”)Arianna Rehak, CEO at Matchbox Virtual MediaJordana Davis, COO at webcastcloudXiaoyin Qu, Founder & CEO, Run The WorldDr. Laurelle Jno Baptiste, VP Professional Services, VocalmeetRachel Chong, founder & CEO, Catchafire
Lynn Zalokar
02:10:56
Arianna Rehak had a pre-recorded session yesterday on setting up virtual events (with live chat going on).
Rhonda Payne
02:13:01
When converting sponsors to a virtual activation, mind your margins and reduce your ask if appropriate. Often some of the fee is in part (sometime in large part) covering direct costs like F&B, décor, etc.
Theresa Engler
02:15:04
Rhonda - I couldn't agree more - there is savings on many expense like F&B, etc. that we can pass on to our members when reconsidering rates
Rhonda Payne
02:15:08
When converting your educational content from a conference to an online/virtual version, careful not to plug and play content planned 6-12 months ago. It pays to take some care to adjust the content strategy in response to this new reality and how it may be impacting your attendees in their work.
